Points to consider when planning medical support for a concert, sports competition, trade fair or corporate event.

Risk assessment: what information is needed?
- Number of attendees and peak times
- Type of event: Concert, run, cycling race, trade fair, film shoot…
- Duration: Start and end times, including set-up and dismantling
- Venue: Indoor or outdoor, entrances and exits, vehicle access
- Weather: Heat, cold or rain can affect attendees
- Attendee profile: Age group and whether the event involves physical exertion
Positioning and access
The ambulance should be positioned where it can reach the event area quickly and leave without being blocked. It is important to keep the emergency access route clear and to make sure staff know it.
Communication plan
- Agree the communication channel between the organisers and the medical team (radio, phone).
- Make clear to security and staff whom to inform about a health problem, and how.
- Hold a short briefing before the event starts.
First aid point
If there will be a first aid point on site, plan its location, signage and coordination with the team in advance.
Permits and regulations
Permit processes for some types of events may require medical measures. Find out the requirements from the relevant authority and mention them in your request.
What to include in your request
- Type, date and location of the event
- Start and end times
- Expected number of attendees
- Whether there is a first aid point on site
- Any medical measures required by the permit
